About the Role

We are seeking a friendly, professional and reliable Healthcare Assistant / Receptionist to join our growing private healthcare clinic. This is a dual-role position combining front-of-house reception duties with basic healthcare assistant responsibilities.

As the majority of the role involves reception and administrative duties, we are looking for someone with excellent patient service skills, strong organisational abilities and a compassionate approach to patient care. The successful candidate will support the smooth running of the clinic while ensuring patients receive a high-quality service at all times.

Reception and Administrative Duties

  • Welcome patients and visitors in a professional and courteous manner.
  • Manage appointment bookings and clinic schedules.
  • Answer telephone calls, emails and patient enquiries.
  • Register new patients and update patient records accurately.
  • Process payments and issue receipts where required.
  • Manage correspondence and maintain confidential records.
  • Ensure waiting areas and reception areas remain tidy and welcoming.
  • Support the management team with administrative tasks.
  • Handle patient feedback, concerns and complaints in accordance with clinic policies.
  • Maintain compliance with GDPR and confidentiality requirements.

Healthcare Assistant Duties

  • Prepare clinical rooms before and after consultations.
  • Chaperone patients when required and in accordance with clinic policy.
  • Act as phlebotomist, take blood samples and send to the lab
  • Assist clinicians with patient flow and preparation for procedures.
  • Maintain stock levels of clinical supplies and equipment.
  • Ensure infection prevention and control procedures are followed.
  • Support cleaning processes in accordance with clinic protocols.
  • Report any clinical concerns, incidents or safeguarding issues appropriately.

Essential Requirements

  • Previous experience in a reception, customer service, healthcare or administrative role.
  • Excellent communication and interpersonal skills.
  • Strong IT skills, including Microsoft Office and electronic patient record systems.
  • Ability to work independently and as part of a team.
  • Professional, compassionate and patient-centred approach.
  • Excellent organisational and time management skills.
  • Understanding of confidentiality and data protection principles.

Desirable Requirements

  • Previous experience working in a healthcare setting.
  • Healthcare Assistant qualification or equivalent experience, and a phlebotomy certificate
  • Knowledge of CQC standards and healthcare regulations.
  • Experience using healthcare management systems and patient record software.

Safeguarding and Compliance

The successful applicant will be required to:

  • Undergo an enhanced DBS check.
  • Provide satisfactory references.
  • Demonstrate the right to work in the United Kingdom.
  • Complete mandatory training.
  • Comply with all clinic policies and procedures.
