Chaperone

IF YOU WOULD LIKE A CHAPERONE PRESENT DURING YOUR EXAMINATION, THEN PLEASE ADVISE THE RECEPTIONIST WHEN BOOKING YOUR APPOINTMENT OR WHEN CHECKING IN. The role of a Chaperone is to maintain professional boundaries during intimate examinations and acknowledge a patient’s vulnerability, providing emotional comfort and reassurance and assisting with undressing patients if required.

Compliments, Complaints and Suggestions

SomDoc Walk-In Clinic is to always provide its patients with the best possible service. We are always interested to hear your opinion on how well you think we are doing. We welcome suggestions and constructive criticism as they help us to improve our service. Please present your views in writing at reception or use our suggestion box.

Formal Complaints Procedure
At times you might not be happy with the service you have received, and you may wish to make a formal complaint, the following complaint procedures will apply. All complaints should be submitted either by writing to the Clinic office at Private Walk-in Clinic 108 Goldhawk Road, W12 8HD, or by contacting through Tel: 02087460830, or by sending an E-mail to: walkinclinicenquiries@gmail.com.

1. Stage 1 – Acknowledgement, Investigation, and Full Response
When you’ve made your complaint, we will acknowledge your letter/email within 3 working days. (As long as you’ve provided valid contact details). You will be provided with the contact information of a designated individual who will serve as your point of contact throughout the complaints process. 

Typically, this individual is the Complaint Manager or the Deputy Clinical Lead. We will then investigate your complaint and respond to your complaint as soon as possible either by writing or email within 20 working days of receipt. If we cannot provide you with a full response within 20 working days, then we will inform you of any delays and then will keep you updated on the progress of your complaint.

If you are not satisfied with the resolution of your complaint at Stage 1, you have the option to escalate it to Stage 2. At this stage, our registered manager and Clinical lead Dr Abdulqadir Ahmed-Nur will conduct a review.

2. Stage – 2 Internal Appeal
If you remain dissatisfied with our final response at Stage 1, you have the right to pursue an internal appeal. Our registered manager and Clinical Lead, Dr Abdulqadir Ahmed-Nur, will review your concerns. 

We commit to acknowledging your concerns within 3 working days, and a comprehensive response will follow within 20 working days of receipt. Should you remain dissatisfied with the outcome of the review at Stage 2, you have the option to escalate it to Stage 3 which is the final stage of the complaint process.

3. Stage -3 External/ Other organisations involved in Good Medical Practice.
If you are dissatisfied with the outcome of our registered manager and Clinical Lead and feel that we have not met any of the Health and Social Care Act 2008 regulations, you can escalate your concerns to any independent external review organisation that SomDoc Walk-in Clinic is a member of. 

Any serious allegations about a doctor’s fitness to practice should be directed to the General Medical Council at. https://www.gmc-uk.org/concerns. Some doctors who work solely in private practice are also members of the Independent Doctors Federation and will take complaints into account when conducting doctors’ appraisals at www.idf.uk.net. Also, any concerns can be reported to the CQC via https://www.cqc.org.uk/contact-us/how-complain/complain-about-service-or-provider.

Complaining On Behalf of Someone Else.
Please note that we keep strictly to the rules of medical confidentiality. If you are complaining on behalf of someone else, we must know that you have their permission to do so. A note signed by the person concerned will be required.

Terms and Conditions

1. Private Walk-in Clinic is a trading name of SOMDOC WALK-IN CLINIC LIMITED, a company incorporated in England and Wales under company no 08821569(“we” “us” “our”).

 

2. We do not provide emergency services, and if you are experiencing a medical emergency, please dial 999 as your first course of action.

 

3. SomDoc Walk-in Clinic is a private clinic that charges a fee for its services. In accepting a consultation with a medical doctor, you agree to pay for that practitioner’s time regardless of the outcome of the consultation or medical forms. Any additional time, investigation, or treatment is chargeable at additional cost. Payment must be made in full prior to the doctor’s consultation and completed forms. For blood tests, urine analysis, scans, and swabs, we will require upfront payment before specimen collection. These payments are non-refundable.

 

4. Doctors are responsible for their own clinical practice and for the advice, investigation, and treatment that they provide. In the process of forming a diagnosis and treatment plan, the Doctor may recommend further investigations. Please be aware that any investigations initiated by the Doctor will be conducted on a private, fee-paying basis. These investigations may include blood tests, urine tests, swabs, X-rays, or ultrasounds.

 

5. You are under no obligation to cover the cost of any additional investigations. However, by choosing not to proceed with an investigation recommended by a doctor, you agree to release both us and the Doctor from any liability under all circumstances arising from the initial consultation.

 

6. SomDoc Walk-in Clinic is not liable for patients’ well-being outside of the clinic’s opening hours and does not provide an out-of-hours service.

 

7. You acknowledge that a doctor may recommend a direct referral to a specialist on a private, fee-paying basis. If you have private health insurance, this cost may be covered under your policy. It is your responsibility to verify with your private insurance provider whether the expenses related to further referrals and investigations are included in your policy.

 

8. If you do not have private insurance, you can still opt for a specialist referral but solely on a private self-pay basis. You will be entirely responsible for scheduling your private appointment with the specialist for any additional treatment.

 

9. If the Doctor recommends an onward referral, but you are unable or unwilling to cover the costs, it is recommended that you consult your NHS GP for further guidance. Please be aware that your NHS GP is not obligated in any way to carry out a referral or any part of a treatment plan suggested by a doctor you have consulted through our Services.

 

10. In certain situations, the doctor may recommend a follow-up appointment with them to assess treatment progress or discuss the results of investigations. You are not obligated to schedule this follow-up, but by choosing not to do so, you agree to release both us and the Doctor from any liability for any circumstances arising from the initial consultation.

 

11. All patient details and records are kept in the strictest of confidence by SomDoc Walk-in Clinic. We share information only with other medical service providers involved directly in your care such as the laboratory or imaging centre doing your tests; or specialists to whom you have requested a referral. We use phone and email to communicate with these other service providers and, while we aim to communicate confidentially, we accept no responsibility for breaches of these communication routes. We will not share your information with anyone else, unless you give us permission to do so, for example with your GP. The only exceptions are where a patient is considered to be a danger to themselves or others, or when required to do so by a court order. In providing us with an email address or phone number we consider this implied permission to contact you by this means regarding your healthcare.

 

12. SomDoc Walk in Clinic can only consult with the patient themselves or the parent or legal guardian of a child under 16. We cannot conduct a consultation about a relative or friend without their permission although we can give general health advice.

 

13. Patients have the right to access their health records in line with the Data Protection Act 2018.

 

14. Our staff have the right to work in an environment free from violent, threatening, or abusive behaviour and everything will be done to protect that right. At no time will any violent, threatening, or abusive behaviour be tolerated.

 

15. We reserve the right to refuse access to our service to certain individuals. Examples include those who behave violently, threateningly, or abusively; patients who do not agree to pay for our services, requests for potentially addictive or controlled drugs: patients who we are unable to assist such as those who need emergency or specialist treatment; those whose request we do not consider to be in their best interests; those who we consider being a risk to themselves or others.

 

16. Our doctors do not prescribe the controlled drugs and we recommend this to be monitored and regulated by the patient’s GP. Any prescriptions issued are subject to a private, fee-based arrangement. Neither Private Walk in Clinic nor the doctors assume responsibility for medication associated costs. In the event of a lost prescription, a duplicate can be reissued by the doctor for an extra fee. The doctor reserves the right to refuse the issuance of a duplicate prescription if it is deemed inappropriate.

How much is a consultation?

• The face-to-face consultation fee is £100.
• The Follow-up consultation fee within 1 month is £90.
Please note the consultations are approximately 30 minutes, however, the time will vary depending on your personal circumstances.

Yes, with your consent we can refer you to your NHS GP or NHS hospital if require urgent care.
